In this article, learn how to easily set up backup printing for your KDS if you want additional redundancy during Offline Mode.

KDS Backup Printing Overview

When the Toast system is offline, kitchen tickets for in-house orders will still display on your KDS device. If you want additional redundancy, you can choose to set up a backup printer for your KDS, but this is not needed for KDS Offline Mode to work.

If you already have printers configured for your prep stations, no further action is needed to set up backup printing. During a service outage, orders will automatically print from the printers instead of displaying on the corresponding KDS. 

Additionally, note that any printer can be used as a backup printer. For example, you can set up a printer at a server station or bar as a backup printer. 

KDS Backup Printer Configuration

  1. If you're setting up a new printer, make sure to install and use the workflow on your POS device to configure your printer.
  2. Then, in Toast Web, navigate to Kitchen > Kitchen stations > Prep stations.
  3. For each prep station, select the backup printer you would like to use under the Ticket Printer column. 
  4. Then, uncheck the box for the Always Print Tickets column so the printer only prints tickets during the service outage. If you'd like the printer to print tickets during regular service in addition to the tickets appearing on the KDS, then check off the boxes in this column. 
  5. Save and publish your changes.

Printer Troubleshooting

Unfortunately, printers can run into issues‌. If you're having trouble printing, here are 3 troubleshooting steps that solve most printer issues and can be done on the floor. 

Always try these 3 steps FIRST:

  1. Unplug both the power cable and the ethernet cable from your printer. Wait 30 seconds.

  2. Plug both cables back in and be sure to power your printer on.

  3. Retry printing.

 

If the problem is not resolved, try these quick troubleshooting steps next: 

 

Are you printing from a terminal? If so, make sure Wi-Fi is turned off.

Are you printing from a handheld device? If so, make sure you're on the correct Wi-Fi network.

Is your receipt printer printing blank slips? If so, make sure you're using the correct paper (see Printer Paper Rolls and Ink Ribbons) and it is installed properly. The printer paper may have been loaded backwards, so try making an adjustment.

Confirm the issue is cable-related by testing with a cable that you know works.

Print a Test Slip

Not only does it confirm your printer is on, your paper has been loaded correctly, and your printer is able to print physically, but it also gives us networking information about how your printer is connected to the internet.
